Mail and email sending
Write and send email from Clivly, from your own mailbox or your company's domain, send to a filtered audience, and keep drafts.
Mail is where your team writes and sends email to contacts, finishes drafts, and sees every email sent from Clivly with its delivery status and link engagement.
Where email comes from
Choose senders under Settings → Email sending. There are three, and they can be combined:
| Sender | Used for | What the recipient sees |
|---|---|---|
| Clivly's shared sender | Anything, with no setup | Mail sent on your behalf through Clivly |
| Your company's domain | 1:1 and bulk email | Mail from an address on your domain |
| Your own mailbox (Google or Microsoft) | 1:1 email | A personal message from your mailbox |
Your company's domain
Add your domain and publish the DNS records Clivly shows you. Once the domain verifies, mail arrives as your company rather than as Clivly. If verification fails, the page says why — including when another DKIM key already uses the same name.
Who sends as which address: every member sends as their own address on the
domain. Admins can also create shared addresses (for example
support@) and grant them to particular members or to a role. Grants are
checked at the moment of sending, so removing one takes effect immediately —
even for a bulk send already under way.
Sending from your domain is part of every paid plan and the trial.
Your own mailbox
A member can connect their own Google or Microsoft mailbox to send 1:1 email from it, so replies come back to their usual inbox. Clivly asks only for permission to send. Connected mailboxes need a paid plan or a running trial.
Setting up company email
Admins open Settings → Email sending → Set up company email (or the link under Mail's inbox folders). One page walks through five steps, and each is marked done from what Clivly can see, so you can leave and come back:
- Verify your domain — publish the DNS records shown.
- Create shared addresses — such as
support@orsales@, and choose who can use each. - Forward each address to Clivly — steps for Google Workspace, Microsoft 365 and other providers, with the address to forward to.
- Send a test — Clivly gives you a short code; send any email with it in the subject to the shared address, and the page confirms when it arrives.
- Check your team's addresses — everyone whose login is on your domain has an address already, invited members too. Anyone else is listed so you can give them one.
How forwarding works
Your mail stays where it is. support@yourcompany.com keeps arriving at your
mail provider, and the provider forwards a copy to that address's private
Clivly address (fwd+…@in.clivly.com, shown in the setup page). Clivly files
the copy on the sender's conversation, creating the contact if they are new,
and notifies the people the address is granted to.
Each private address is unguessable, so nobody can send to it by name. Mail that fails its authentication checks is never filed or turned into a contact: it waits under Mail → Unverified for an admin to release or discard it.
When you add a forwarding address in Gmail, Google sends a confirmation code to it. Clivly catches that message and shows the code on the setup page, so you can paste it straight back into Gmail. Microsoft 365 blocks forwarding to outside addresses until an admin allows it in the outbound anti-spam policy; the setup page says where.
Your Sent folder
Mail you send from Clivly through your company's domain is sent by Clivly, not by your own mail app, so it doesn't appear in that app's Sent folder. Find it in Mail → Sent and on the contact. Mail sent through a connected Google or Microsoft mailbox is the exception: it appears in that mailbox's Sent folder as usual.
Writing an email
Start one from Mail with New email, or from a contact. Choose the From address among the senders available to you. A half-written email is kept as a draft for 30 days; find it under Drafts, which also holds follow-ups proposed by Ask your CRM and changes awaiting approval from AI agents.
Attachments
Attach files with the paperclip, or drop them onto the composer. Each file can
be up to 10 MB and one email up to 25 MB, with at most 10 files. Programs and
scripts (.exe, .js, .sh and similar) are refused, as Gmail refuses them.
The sent email lists its files, and anyone in the workspace can download them
from there.
Attachments go out from the shared Clivly sender and from your company's domain. A connected Gmail or Outlook mailbox can't carry them yet. Drafts don't keep files: attach them just before sending. One-to-one emails only; bulk sends carry no attachments.
Sending to many contacts
Bulk email (in Mail, New bulk email) sends one message to a filtered set of contacts and shows it going out:
- Clivly states how many contacts the filter matches before you send.
- Recipients who unsubscribed or whose address bounced are skipped. Every bulk email carries an unsubscribe link and header.
- Bulk sends cost no credits. They count toward your emailable contacts, which your audience tier covers. The composer warns before a send would move you into a higher audience tier — see Plans and billing.
- Bulk email can be sent from Clivly's shared sender or an address on your verified domain, not from a personal mailbox.
1:1 email does not count toward emailable contacts.
Delivery and engagement
Mail's folders separate Sent, Failed and Engaged email, and each message shows its delivery status and which links were clicked. A recipient whose address bounces or who marks you as spam is suppressed from future sends automatically.
